BACK OFFICE - Maintenance
The general management of the system is dealt with in this setup section, including the tasks that operators can perform in the office or on the tills.
It is vital to make sure products are added to the system with the right barcodes, prices and kept updated with supplier’s changes. To achieve the required margin the system will calculate a suggested sell price and all stock and price changes are audited by date and operator, which can be reviewed later.

HOW DO I LOAD THE PRODUCTS I USE AT MY STORE ?
Get spreadsheets of products from suppliers and wholesalers and load them in. Alternatively pull off the existing databases built up from our existing clients. We hold a number of major ranges as standard.
CAN I CORRECT STOCK AND PRICES QUICKLY AND SHOW WHAT I HAVE CHANGED, BY WHOM AND WHEN ?
The are many places that stock and prices can be maintained throughout the system and the each will raise a record of the alteration. There is an audit trail for stock and a seperate one for prices. This breaks downs into types e.g. till sales , till returns, till own use. Finally it analyses them into effect e.g. loss, adjustment, correction allowing a comment and crossreference to the originating transaction , with the date and operator recorded. The pricing audit operates very similarly, both audits should record the position before and after the change.
CAN I TRACK WHY THE STOCK BALANCE IS AND AGREE IT, BY LOOKING AT EACH ALTERATION AND WHO PERFORMED IT ?
It is hard to explain a stock balance because there are so many areas of the system that could change it. The only way is to record each of the changes individually by each part of the system doing it, the date, person and time, later resorting can show trends within these audits by bringing similar items together. The whole of this data is referred to as the stock and prices audits and form a story line of the life cycle of a product hopefully explaining why the balance is what it is and confirming the integrity if the stock solution.
WHAT DO I DO IF THE PRODUCT HAS NO BARCODE ?
The are special lines just to take the money and get the customer through the door, or you can use the stock code as your own internal barcode and print a label for it.
